Online accounting is the traditional accounting service offered by accountants but taking advantage of the efficiencies that can be obtained by doing it "online" using:

  1. Electronic Email
  2. Online "cloud” accounting systems (such as Xero) which offer online, real time, multi access 24 hour accounting solutions without the need for expensive hardware. No software is purchased or installed. As long as you have access to the internet you can (and anyone else) access and update your accounts in real time for a modest fee of circa £20 per month
  3. Our customised "Easy to Use" free of charge Excel Accounting spreadsheet
  4. Online storage of documents (e.g. accounts, tax returns) in my secure client area
  5. Free online applications such as Dropsend and Dropbox which allow you to send and receive large files electronically and store your files online
  6. Using electronic documents created in products such as Microsoft Excel, Word, Powerpoint and Adobe
  7. Online meetings using webcams, Skype etc
  8. Electronic bank statements
  9. HMRC’s free of charge online fling facilities for VAT returns, Personal, Company and Partnership Tax Returns, PAYE and payroll returns
  10. Companies House free of charge online filing facilities
  11. Free emailed updates of my monthly electronic Newsletter, budget briefings and special reports.
  1. Fast efficient exchange of data - no need to rely on paper and postal deliveries.
  2. "Real time” information - no need to wait for your accountant to send back the accounts so you can update your accounting system as they are done "live and in real time” for all users to see.
  3. No need for expensive hardware or software or software updates.
  4. Data can be updated/accessed anywhere on your PC or smart phone as long as you have an internet connection/phone signal
  5. No paper involved - No need to store paper.
  6. No need to rely on backing up your data.

How it works depends a lot on you and what your expectations / requirements are. Generally the sequence of events would be:

  1. Initial chat with me – this can be over the phone, by email, by webcam or "face-to-face”. Your requirements are discussed and whether I believe we can meet them and, if so, how this would be achieved.
  2. Agree a fee – based on the level of service required, a fee for the next 12 months is agreed which is payable by monthly standing order.
  3. Before carrying out any work I am required to obtain the following from you:
    • A signed Letter of Engagement – this is the "contract” between us and sets out the obligations and duties conditions of both parties
    • Proof of identity e.g. a copy of the photo page of a valid passport
    • Proof of your address – a copy of a recent utility bill
    • Details of your existing accountant, if applicable. As a matter of professional courtesy I am required to write to them.
  4. Timetable - a timetable is agreed of who will do what, and by when, and can be as detailed as required. An example of this might be as follows:

  1. Keeping to the timetable – the timetable is then what drives my service to you. Changes to the timetable are agreed with you.
  2. Keeping in touch – clearly there are times when we may need to contact each other than on the scheduled days. In which case:
    • Contact can be made by phone/email. All calls and emails will be answered within 24 hours, although most are answered immediately
    • There are no hidden charges for answering ongoing queries – if a more detailed answer is required then I will advise how long it will take and an estimate cost for you to confirm whether or not you wish to proceed.

I offer the traditional services that you would expect from your accountant.

How much does it cost?

No two businesses are the same but the basic fee and service are as follows:

Once agreed, fees will be fixed for the next 12 months and are payable in advance by monthly standing order. An invoice will be issued to you at the beginning of each quarter for the next three months’ payments.
